The management of deleted files within the Microsoft 365 ecosystem is currently undergoing a fundamental change in architecture. To optimize synchronization performance and make data recovery more predictable for administrators, Microsoft is changing the processing of cloud-initiated deletions in the local OneDrive Sync Client.
Previously, the Sync Client moved a locally synchronized copy of a file to the operating system's recycle bin (Windows Recycle Bin or macOS Trash) when it was deleted in the cloud (SharePoint Online or OneDrive for Business). This often led to confusion and inconsistencies, because upon restoration from the site recycle bin, the local copy still remained in the workstation's recycle bin and lost the connection to the master file.
The new feature (MC1269861)
According to the announcement from April 2026, the OneDrive Sync Client will no longer process cloud-side deletions by moving them to the local recycle bin starting in May 2026. Instead, the local copy is simply removed directly from the local folder replica.
The essential architectural implications:
- Single Authority: The only authoritative copy of a deleted file will in the future be located in the recycle bin of the SharePoint site or the OneDrive account.
- Performance gain: By eliminating the local write operation (moving to the recycle bin), the load on the client is reduced, which is particularly noticeable with large document libraries with high fluctuation.
- Files On-Demand: Files that are exclusively available online remain unaffected by this change, as they are not processed locally by the Sync Client anyway.
- Note for administrators: This change will be rolled out automatically and cannot be blocked by policies. The rollout begins in early May 2026 and is scheduled to be completed by the end of May 2026.
Classification in data security
Although this change cleans up local data storage, the responsibility for data governance remains. Administrators should continue to monitor the standard retention periods of the SharePoint recycle bin, as this is now the only recovery point without a dedicated backup solution.
